Job Description:

Job Purpose

Support the planning, coordination, and execution of corporate events while ensuring compliance with internal processes, documentation requirements, and budget controls.

Key Responsibilities

1. Event Planning & Execution

  • Support the organization and execution of various events, including virtual meetings, workshops, conferences, symposiums, and sponsorship activities.
  • Coordinate event logistics, including venue arrangements, accommodation, transportation, production, and technical support.
  • Assist with pre-event preparation, on-site execution, and post-event follow-up activities.
  • Work closely with internal stakeholders, vendors, and external partners to ensure smooth event delivery.

2. Process & System Administration

  • Support event creation and approval workflows through internal systems (CRM, Ariba, Salesforce, etc.).
  • Coordinate vendor onboarding, purchase order creation, invoice submission, and payment tracking.
  • Ensure all event activities comply with company policies, SOPs, and compliance requirements.

3. Contract & Documentation Management

  • Prepare, review, and process event-related contracts and supporting documents.
  • Maintain accurate records and documentation for all event activities.
  • Follow up on approvals and ensure timely completion of required paperwork.

4. Budget & Payment Administration

  • Process event-related payments, including invoice verification and payment tracking.
  • Monitor event expenses and ensure accurate documentation and reporting.
  • Support budget tracking and reconciliation activities.

5. Project Coordination & Tracking

  • Monitor project timelines and follow up on action items to ensure timely execution.
  • Maintain task trackers and provide regular progress updates to stakeholders.
  • Coordinate with cross-functional teams to resolve issues and support event objectives.

Requirements

  • Bachelor's degree in Business Administration, Event Management, Marketing, or related fields.
  • 1–3 years of experience in event coordination, project administration, or commercial operations.
  • Strong organizational and multitasking skills.
  • Experience working with approval workflows, contracts, payments, and vendor management.
  • Proficiency in Microsoft Office; experience with CRM, Salesforce, Ariba, or similar systems is an advantage.
  • Strong communication and stakeholder management skills.
  • Detail-oriented with the ability to work under tight deadlines.
